RDD exhibition

The Exhibition offers your organization the opportunity to display innovative research, technology and services of interest to the medical aerosol community. Refreshment breaks and 'Grab and Go' lunches are incorporated into the Poster and Exhibition Session, creating maximum networking opportunities for exhibitors. These are augmented by a Sunday evening Welcome Reception and Conference Dinner on Wednesday. Conference Supporters, Workshop Presenters, and Exhibitors will each have a table suitable for the display of components, excipients, hardware or services relevant to inhaled pharmaceutical products.

When and Where?

The Poster and Exhibition Session will be continuously accessible to delegates from 10:00 AM to 7:00 PM on Monday, May 11, and from 8:30 AM to 7:00 PM on Tuesday, May 12. The Poster and Exhibition Session will be the only RDD event during the following times:

Posters, exhibit tables, lunch and refreshment breaks will share an expansive space to maximize interactivity.

Scammers are again targeting RDD conference attendees and exhibitors, usually offering fake delegate lists and fictitious, discounted hotel reservations. RDD does not rent or sell delegate lists to third parties or work with outside companies to provide exhibition or housing services in association with our conference. Please make hotel reservations directly with the Westin Kierland and only trust emails that have been sent from @rddonline.com

Exhibitor Fees and Benefits

The Exhibitor Fee is $5,000 and includes:

  • Acknowledgement during the opening session, in downloaded articles and proceedings, and on the conference website
  • Logo placement in One Knowledge Space. Logo links to company profile
  • Complimentary registration for One Delegate
  • Exhibit Table with electrical access. Exhibit Table location will be allocated based upon Sponsorship Level (Conference Supporter, Workshop Presenter, Exhibitor)
  • Company Profile which includes logo, company description, contact details, up to 6 assets promoting products and services, links to presentations at RDD 2026 and articles published at previous RDD conferences. During the conference period, company profiles will also include key contacts, messaging and meeting scheduler (visible to registered delegates). Company profiles are posted from time of commitment through June 30, 2026. Sign up early.

  • Access to delegate list (April 2026)
  • Inclusion in pre-conference email highlighting RDD 2026 exhibitors

Company Profile Visible Before, During & After the Conference

All Exhibitors have a Company Profile and can choose to have their logo (which links to their Company Profile) displayed in one Knowledge Space. Knowledge Spaces merge exhibitors with related presentations, workshops, and posters, creating opportunities to explore areas of interest with just a few clicks. As soon as you confirm your participation, your Company Profile is visible until June 30, 2026. Sign up early.

Company Profiles are visible to all website visitors and include:

  • Company logo and 200-word description, contact details (email, website) and optional links to your social media sites
  • Up to 6 promotional assets describing products & services; e.g. images, descriptive text, link, or PDF files with company literature
  • Links to your presentations at RDD 2026 and articles published at previous RDD conferences
  • Job postings displayed on rddonline.com also display on your Company Profile
  • During the conference Company Profiles include key contacts, messaging and meeting scheduler visible to registered delegates

Exhibition Guidelines

Our goal is to create a sustained, intensive networking opportunity for large and small companies in a comfortable, intimate environment. To that end, the following rules are strictly enforced:

  • All display material must fit on top of the tables provided. Booths may not be used. Floor- and wall-mounted displays or racks are not permitted. Neither are lighted displays.
  • Monitors with a diagonal measurement up to 32 inches are acceptable. Contact info@rddonline.com for rental details from the AV partner.
  • Do not place anything taller than 24 inches high or heavier than 40 lb. on your table.
  • Only one company is permitted to exhibit at each table.
  • Exhibit sponsors receive one complimentary registration; additional company representatives must register and pay the registration fee. Higher level sponsors receive additional complimentary registrations. Contact info@rddonline.com for details.

Table Location and Size

Exhibitors select their preferred table location within their chosen Knowledge Space in the following priority order: Conference Supporter, Workshop Presenter, then Exhibitor. Within the constraints of the available exhibit space, we locate posters from an organization in the same Knowledge Space close to their exhibit table.

  • Tables are 72 inches x 24 inches with a 30 inch drop to the floor.
  • Your table is intended to allow distribution of brochures, business cards and other literature. It also facilitates demonstrations of handheld devices and can hold a laptop computer. We encourage you to display your company name and/or logo on a freestanding tabletop sign no taller than 24 inches or use a table skirt with your company logo on the front.

Electricity

A 120V electrical outlet is available at your table. Exhibitors from outside the United States are responsible for bringing appropriate electrical adaptors.

Set-Up and Take Down

  • Set-up is encouraged on Sunday, May 10, between 3:00 PM–7:00 PM. Please register at the Registration Desk on the lobby level of the Westin Kierland then immediately proceed to the Kierland Grand Ballroom. Our staff will direct you to your table location. Do not set up in a different location. Late arrivals may set up on Monday, May 11, from 7:30 to 9:00 AM.
  • To protect your property, hotel security will not allow access to the Poster and Exhibition area from Sunday at 7:00 PM until Monday at 7:30 AM. We recommend that you take small, high-value items such as laptops and prototype devices with you when you are not at your table or when leaving the space for the evening.
  • A Poster and Exhibition Floor Plan will be provided to you and all delegates so they can easily find your table.
  • Exhibit tables must be removed at 7:00 PM on Tuesday, May 12. Information will be provided regarding outgoing shipping of materials.

The meeting organizers and the Westin Kierland expressly disclaim responsibility for loss or damage to any items you bring into the Poster and Exhibition space.

Shipping Instructions

Please ensure anyone shipping packages to the Westin Kierland on your behalf receives these instructions.

SHIPPING SCHEDULE AND HANDLING FEES

  • The Westin Kierland uses FedEx Office, located in the onsite business center, to coordinate Shipping and Receiving.
  • Your FedEx Office Shipping & Receiving Contact is Rob Fessenden (usa1060@fedex.com) / +1 480 596 1028
  • Handling fees detailed on the Westin Kierland FedEx Office Shipping Instructions (included in the Shipping Instructions Packet) are levied on incoming and outgoing packages. Fees may be charged to your FedEx account number (recommended) or credit card. The Shipment Form included in the Shipping Instructions Packet must be completed and returned to Rob Fessenden before your shipment arrives at the Westin Kierland.
  • Shipments must be timed to arrive no earlier than Thursday, April 30, 2026. Packages arriving earlier than April 30 will be subject to additional FedEx Office storage fees detailed on the Westin Kierland FedEx Office Shipping Instructions.
  • Shipping and Receiving hours are 7:00 am–6:30 pm Monday through Friday / 7:30 am-4:00 pm Saturday / 8:00 am-1:00 pm Sunday.
  • Exhibition, Workshop, and Poster shipments will be delivered to the appropriate location in the conference space. Package pick-up by Guest at FedEx Office is not available.

LABELING YOUR SHIPMENT

Please attach a Main Shipping Label and Auxiliary Shipping Label to each box. Clearly show the following information:

OTHER IMPORTANT INFORMATION

  • RDD 2026 does not accept responsibility for items delayed, lost, or damaged in transit to or from the Westin Kierland.
  • Shipments will be brought to your exhibit table, poster location, or workshop room if you returned the Shipment Form to Rob Fessenden before the conference and payment was successful. If not, the shipment form must be completed by a delegate upon arrival at the Westin Kierland, before shipments are released and delivered.
  • All international shipments are subject to customs inspection. Please ensure sufficient time for customs clearance and include “Items for trade demonstration and re-export” on the Auxiliary Shipping Label and documentation.
  • Transport and custom charges are the responsibility of the sender. Neither RDD nor the Westin Kierland will pay transport or customs fees. Please ensure all transport and customs fees are prepaid.
  • Package fragile equipment carefully. Dangerous or suspicious-looking materials should not be shipped to RDD 2026.
  • Oversize packages including pallets or items with special handing requirements must be coordinated with FedEx Office in advance of delivery. Items that require special handling will be assessed an additional fee. See FedEx Office fee schedule.

OUTGOING SHIPMENTS

  • You are responsible for organizing & packing your outgoing shipment. We suggest including prefilled shipping labels (don’t forget to add your carrier’s account number) and a roll of tape in an incoming box).
  • FedEx Office will collect prepaid/prelabelled outgoing packages from your exhibit table, poster, or workshop room; you will not need to schedule pick-up for FedEx, USPS & UPS. They provide daily weekday pick-up. You will need to schedule DHL pick-up.
  • FedEx Office can arrange outgoing shipments (excluding freight) with major carriers if your outbound shipment was not prepaid/prelabelled and automatically collected. Please take such packages to FedEx Office. If you do not have an account number for your preferred carrier, you will need to make payment by credit card.
