Exhibit at RDD Europe 2025

The exhibition offers your organization the opportunity to display innovative research, technology and services of interest to the medical aerosol community. Refreshment breaks and lunches are incorporated into the Poster and Exhibition Session, creating maximum networking opportunities for exhibitors. Conference Supporters, Workshop Presenters, and Exhibitors will each have a table suitable for the display of components, excipients, hardware or services relevant to inhaled pharmaceutical products.

When and Where?

The Poster and Exhibition Session will be continuously accessible to delegates from 9:30 AM to 6:00 PM on Wednesday, May 7, 8:30 AM to 6:00 PM on Thursday, May 8, and from 8:30 AM to 12:30 PM on Friday, May 9. The Poster and Exhibition Session will be the main RDD event during the following times:

Exhibitor Fees and Benefits

The Exhibitor Fee is €5,000 and includes:

  • Acknowledgment during the opening session, in downloaded articles and proceedings, and on the conference website
  • Logo placement in One Knowledge Space. Logo links to company profile
  • Complimentary registration for One Delegate
  • Exhibit Table with electrical outlet. Exhibit tables will be allocated based upon Sponsorship Level (Conference Supporter, Workshop Presenter, Exhibitor)
  • Company Profile which includes logo, company description, contact details, up to 6 assets promoting products and services, links to presentations at RDD Europe 2025 and articles published at previous RDD conferences. During the conference period, company profiles will also include key contacts, messaging and meeting scheduler (visible to registered delegates). Company profiles are posted from time of commitment through June 30, 2025.
  • 25% discount on advertisement in electronic proceedings

Company Profile Visible Before, During & After the Conference

All Exhibitors have a Company Profile and can choose to have their logo (which links to their Company Profile) displayed in one Knowledge Space. Knowledge Spaces merge exhibitors with related presentations, workshops, and posters, creating opportunities to explore areas of interest with just a few clicks. As soon as you confirm your participation, your Company Profile is visible to all website visitors until June 30, 2025. Sign up early.

Company Profiles include:

  • Company logo and 200-word description, contact details (email, website) and optional links to LinkedIn, X, YouTube
  • Up to 6 promotional assets describing products & services; e.g. images, descriptive text, link, or PDF files with company literature
  • Links to your presentations at RDD Europe 2025 and articles published at previous RDD conferences
  • Job postings displayed on rddonline.com also display on your Company Profile
  • During the conference Company Profiles include key contacts, messaging and meeting scheduler visible to registered delegates

Exhibition Guidelines

Our goal is to create a sustained, intensive networking opportunity for all companies in a comfortable, intimate environment. To that end, the following rules are strictly enforced:

  • All display materials must fit on top of the tables provided. Booths may not be used. Floor- and wall-mounted displays or racks are not permitted. Neither are lighted displays.
  • Monitors with a diagonal measurement up to 32 inches are acceptable. Contact rddeurope@agencecarrement.com for rental details.
  • Do not place anything taller than 24 inches high or heavier than 40 lb. on your table.
  • Only one company is permitted to exhibit at each table.
  • Exhibit sponsors receive one complimentary registration; additional company representatives must register and pay the registration fee. Higher level sponsors receive additional complimentary registrations. Contact info@rddonline.com for details.

Table Location and Size

Exhibitors select their preferred table location within their chosen Knowledge Space in the following order: Conference Supporter, Workshop Presenter then, Exhibitor. Within the constraints of the available exhibit space, we locate posters from an organization in the same Knowledge Space close to their exhibit table.

  • All tables are 2.0 m long x 0.8 m wide with a 0.72 m drop to the floor.
  • Your table is intended to allow distribution of brochures, business cards and other literature. It also facilitates demonstrations of handheld devices and can hold a laptop computer. We encourage you to display your company name and/or logo on a freestanding tabletop sign no taller than 24 inches or use a table skirt with your company logo on the front.

Electricity

An EU (Type F, 230V) electrical outlet is available at your table. Exhibitors from outside Europe are responsible for bringing appropriate electrical adaptors.

Set-Up and Take Down

  • Set-up is encouraged on Tuesday, May 6, between 3:00 PM–6:00 PM. Please visit the on-site Registration Desk, review the conference program for the floor plan to find your assigned table location. Do not set up in a different location. Late arrivals may set up on Wednesday, May 7, from 7:30 to 8:30 AM.
  • We recommend that you take small, high-value items such as laptops and prototype devices with you when you are not at your table or when leaving the space for the evening.
  • A Poster and Exhibition Floor Plan will be provided to all delegates so they can easily find your table.
  • Exhibit materials must be removed by 2:00 PM on Friday, May 9. Information will be provided regarding outgoing shipping of materials.

The meeting organizers and the Estoril Congress Center expressly disclaim responsibility for loss or damage to any items you bring into the Poster and Exhibition space.

Incoming Shipping Schedule

Shipments should be timed to arrive between Monday, April 21 and Friday, May 2, 2025. Please allow sufficient time for customs clearance. RDD Europe 2025 cannot accept responsibility for lost, damaged or delayed shipments or customs clearance and will not pay COD or customs charges. Packages will be brought to your exhibit table or poster by conference staff.

Labeling your Incoming Shipment

Please attach Main and Auxiliary Shipping Labels, containing the indicated information.

General Guidelines for Incoming Shipments

You and your shipper are responsible for getting your shipment to Rangel. The following suggestions are based on past experience and are offered only as a guide and may not be relevant to all shipments.

  • All shipments are subject to inspection. Please allow time for customs clearance in Portugal.
  • Consider including “Items for trade demonstration and re-export” on the Auxiliary Shipping Label and documentation, where appropriate.
  • Rangel advise that imports to Portugal must display a valid EORI or VAT (VIES) number to allow definitive or temporary customs clearance. These numbers must be be displayed on the auxiliary label and documentation. Contact Rangel if you have customs questions.
  • Transport and custom charges are the responsibility of the sender. Neither Rangel nor the Congress Center will pay these. Please ensure that all transport and customs fees are prepaid.
  • Package fragile equipment carefully. Dangerous or suspicious looking items should not be shipped to RDD Europe 2025.
  • Ensure that your return address or that of your shipping company is clearly displayed on the outer box.

Outgoing Shipments

  • You are responsible for packing your outgoing shipment. The Congress Center does not have packaging facilities. Remember to include packaging materials, a roll of tape and scissors in your incoming shipment.
  • You are responsible for shipping items after the conference. Please contact your carrier (DHL, Fedex, UPS, etc.) to obtain the appropriate forms and labels, and consider including pre-completed forms in your incoming shipment. It may also be necessary to arrange pick-up by your carrier. You are welcome to use the Congress Center’s loading dock to facilitate outgoing shipments. The pick-up address is:
